There are many places within your portal that you can upload files to keep track of your important financial documents:
- Documents (includes the ability to send a notification to your managing professional)
- To-dos
- Wealth
- Cashflow
- Rooms
NOTE: The document storage system supports only the following common file formats: .csv, .doc, .docx, .gif, .jpeg, .jpg, .pdf, .png, .ppt, .xls, .xlsx, .zip
To upload documents to the Docs area:
1. Navigate to 'Docs' from the menu on the left hand side of your portal.
2. The Docs area opens. Simply drag and drop your file/s into the space provided or click 'Browse' to locate the file within your system.
3. Once the files have been uploaded, a pop-up prompt will appear.
This allows you to send an optional notification to your managing professional (or other recipients), to alert them of the upload.
Send: Clicking "Send" will send the recipients listed in the pop-up prompt a notification.
Cancel: Clicking “Cancel” will not send the recipients listed in the pop-up prompt a notification. The documents are still uploaded and stored in your portal.
NOTE:
a) When uploading a document to your portal, the notification will go to your primary professional. View & modify your Primary Professional in your portal.
If your portal lacks a primary professional, no notifications regarding the action will be sent.
b) If you are a guest (personal or professional) uploading a document to a client's portal, the notification will go to the account owner/s.
c) If you are a connection of an entity uploading a document to the Entity workspace, the notification will go to the authorised user/s.
4. From here, you have the option to move the file to a different folder if required.
To upload documents to a To-do:
1. Navigate to 'To-dos' from the menu on the left hand side of your portal.
2. Locate the To-do and click on the edit pencil under the 'Action' column.
Note: To help you locate the To-do, use the filters to narrow down your search.
3. The To-do opens. Click the '+' button.
4. Your system's folders will open. Select the file you want to upload and click 'Open'.
5. The document is saved and will appear as an attachment within the To-do. To finalize the To-do, change the status to 'Complete' and click 'Save'.
Note:
- Upload multiple documents to a To-do by following steps 3 & 4 as shown above.
- Marking a To-do as 'Complete' will cease all reminder notifications and will send the creator of the To-do an automatic notification to let them know you have finalized the task.
Your To-do is now complete. The file attached to the To-do can also be found in the 'Documents' area of your portal. The location of the file will display as 'Other Docs'.
To upload documents to a Wealth item:
1. Navigate to the Wealth area of your portal and locate the item that you want to upload a document to.
2. Click on the Wealth item and further details will open. Click 'Documents'.
3. Click 'Add document'.
4. Your system's folders will open. Select the file you want to upload and click 'Open'.
5. The file will be uploaded and stored in the 'Documents' tab within the Wealth item.
The file can also be found in the 'Documents' area of your portal and the location of the file will display as the chosen Wealth item.
To upload documents to Cashflow:
1. Navigate to Cashflow, locate the transaction that you would like to upload a file to and click on the transaction.
2. Further transaction details will open. Click 'Documents'.
3. Click 'Add document'.
4. Your system folders will open. Select the file you want to upload and click 'Open'.
5. The file will be uploaded and stored in the 'Documents' tab within the cashflow transaction.
The file can also be found in the 'Documents' area of your portal and the location of the file will display as the chosen cashflow transaction.
To upload documents to a Room:
1. Navigate to 'Rooms' from the menu on the left hand side of your portal.
2. Locate and click on the Room from your 'Active Rooms' list.
3. The Room opens. Click on the 'Documents' tab.
4. Click 'Add document'
You have two choices: to add a new document, or to add an existing document already stored in your portal.
a) To upload a new document, click 'Add a new document'.
A pop-up box will open. Drag and drop your file/s into the space provided or click 'Browse' to locate the file within your system.
b) To upload a document already stored in your portal, click 'Add an existing document'
A pop-up window appears. Select the existing document you want to upload and click 'Import'.
5. Once the document/s have been uploaded, they are stored in the Documents area of the Room.
The 'Activity' area will show the document upload actions.
6. To notify Room members of the document upload, navigate to the 'Chat' area and use the '@' symbol to tag relevant Room members in a comment.
NOTE:
1. You can lock a file you have uploaded so no one else but you and your primary financial professional can delete.
